General
Payment Authorization – A valid credit card on file is required for all monthly services. Billing will generally occur between the 1st and 5th of each month, unless otherwise specified in writing. Monthly service fees are billed in full and are not prorated. Projects such as websites may require a deposit prior to project commencement and final payment upon completion. Specific payment details for any project may be listed as a separate line item on the estimate.
If we rebill advertising spend with Google, Facebook, Yelp, or other platforms, those charges will appear on a separate invoice from our service fees. These invoices will generally be processed on or around the last day of each month for Google and Facebook and at the beginning of the month for Yelp with few exceptions. See the complete Advertising Spend & Payment Policy below for further details.
Please note that some advertising vendors bill in arrears, which means charges may continue to post to your card after services are terminated, reflecting prior ad activity. Clients are responsible for maintaining a valid credit card on file and providing updated payment information as needed to avoid service interruptions. By signing the initial estimate, you authorize Method to charge the card on file for the agreed monthly service amount, project fees (if applicable), and any rebilled advertising charges.
Onboarding and Project Timelines
Method Pro begins setup for most monthly marketing services — including Google PPC, Facebook Ads, Yelp Ads Management, SEO, Social Posts, and Email— within approximately two (2) weeks from the date the client provides all required credentials and access information (such as logins, domain access, or API keys).
All new clients with active monthly services must attend an Onboarding Call, during which Method Pro will:
- Outline the service timelines, deliverables, and performance expectations.
- Review required client materials (brand assets, credentials, billing setup, etc.).
- Establish communication protocols and reporting procedures.
Once services have begun, clients can generally expect to see measurable progress and early performance results within 45 to 90 days, as digital campaigns require time to optimize and gain traction across each advertising platform.
New website projects are typically completed within one (1) month from the date of the initial payment and receipt of all necessary materials.
Delays in website completion may occur due to:
- Lack of client responsiveness or communication,
- Missing content or imagery,
- Incomplete credential or domain access, or
- Requested revisions outside of the original project scope.
Method Pro will communicate any anticipated delays promptly and provide updated timelines as needed to ensure project completion aligns with client cooperation and responsiveness.
Advertising Spend & Payment Policy
At Method Pro, we manage online advertising campaigns across platforms such as Google Ads, Facebook/Instagram Ads, and Yelp Ads. To ensure transparency and avoid confusion, please review our advertising spend and billing policies below:
How Advertising Platforms Bill
- Google Ads
- Operates on a daily budget that rolls up into a monthly spend limit.
- Google charges your card in arrears (after spend is accrued) when either (a) you hit a set billing threshold (e.g., $500, $800, $1,000) or (b) 30 days have passed since the last charge.
- Multiple charges may occur within a single month, depending on your budget and spend rate.
- Facebook/Instagram Ads
- Uses a billing threshold system similar to Google.
- Your card is charged when spend reaches the threshold or at the end of the monthly billing cycle.
- Charges are billed in arrears and may occur multiple times per month.
- Yelp Ads
- Bills once per month, in arrears, for the prior month’s clicks or impressions.
Payment Models with Method Pro
- Rebilled Ad Spend
- For some clients, Method Pro pays the ad platform directly and then rebills you for the ad spend.
- Rebilled ad charges appear as a separate invoice from your monthly service fees.
- These invoices are typically processed on or around the last day of each month to account for vendor billing cycles.
- Client-Direct Ad Spend
- In other cases, the advertising platforms bill your credit card directly.
- Method Pro manages your campaigns, but you are responsible for maintaining a valid payment method with each platform.
- Since platforms bill in arrears, you may still see charges after cancellation that reflect prior ad activity.
Advertising Spend
* Recommended ad spend for Google PPC: $500 – $1,500
* Recommended ad spend for Facebook and Yelp: $250 – $1,000 (depending on market conditions)
* For the 20 new customer guarantee, a minimum ad spend of $2,000 is required.
* The final recommended ad spend, tailored to your market, will be determined during the onboarding call after a detailed analysis of your market.
New Patient Guarantee
We guarantee a minimum of 20 new patients per month entering your practice after fully implementing Method Pro services and best practices for six (6) consecutive months.
If, in the sixth month, your practice does not reach at least 20 verified new patients (as confirmed through your practice management system and call tracking reports), your seventh month of service will be free.
If the target is still not met after that free month, we will extend the guarantee for one additional month. After two consecutive free months, the guarantee will be considered fulfilled and standard billing terms will resume.
To validate results, your practice must provide Method Pro with access to your practice management system for new patient verification.
This guarantee applies only to Method Pro service fees and does not include advertising spend. To remain eligible, your practice must:
- Maintain a minimum monthly ad spend of $2,000, allocated per Method Pro’s platform recommendations.
- Adhere to the Method Pro Best Practices System, including approved call scripts, new patient specials, and other core protocols designed to optimize conversion and campaign performance.
Client Responsibilities
To ensure the timely and successful completion of all Method Pro projects and services, each client is responsible for providing accurate information, timely feedback, and necessary access credentials. The following outlines key client responsibilities that apply to all service types.
1. Credential and Access Requirements
Clients must provide all required login credentials and access within five (5) business days of the onboarding call, including but not limited to:
- Website hosting, CMS, and domain registrar logins
- Google Accounts (Analytics, Ads, Tag Manager, Search Console, Business Profile)
- Facebook, Instagram, and other social media page access
- Yelp and third-party directory access (if applicable)
Incomplete or delayed access may postpone campaign launches or reporting timelines.
2. Communication and Responsiveness
Clients are expected to:
- Attend the scheduled Onboarding Call and any necessary follow-up meetings
- Respond to emails or requests for feedback within five (5) business days
- Assign one primary contact person for project approvals and communication
- Notify Method Pro promptly of any business name, ownership, or contact changes
Failure to respond within a reasonable timeframe may delay campaign progress or project completion.
3. Content and Asset Delivery
Clients must supply all materials necessary for the project, including:
- Logos, brand assets, and design preferences
- Photos, videos, or testimonials to be used on the website or in ads
- Written content, service descriptions, and staff bios (if not included in Method Pro content creation services)
- Kevin/Joe to discuss “Specialist” – see Dental Website Screening Client to verify they own the website content.
If requested materials are not provided, Method Pro reserves the right to use available content to maintain project timelines.
4. Review and Approval Process
Clients are responsible for reviewing and approving deliverables such as website drafts, ad creatives, or marketing copy within five (5) business days of receipt.
If no response is received within that time frame, Method Pro may proceed under the assumption that the deliverable has been accepted to maintain production schedules.
Any revisions requested after project approval may result in additional charges per the client agreement.
5. Billing and Project Timelines
- Work will begin only after initial payment and execution of the client agreement.
- Delays caused by late payments or missing information are not the responsibility of Method Pro.
- Clients will be notified of any necessary extensions or project hold status if communication lapses exceed ten (10) business days.
6. Cooperation and Shared Goals
Method Pro is committed to each client’s success. Active participation, prompt communication, and collaboration are essential for achieving optimal results.
Clients are encouraged to maintain open communication with their assigned Account Manager and provide ongoing feedback throughout the engagement.
